Our Monthly BPO Meeting is the very best way to keep up
with everything going on with the Band.
IF
YOU HAVE TIME FOR NOTHING ELSE, MAKE TIME FOR THIS MEETING!
IT’S
SO IMPORTANT THAT EVERYONE GETS THE SAME COMMUNICATION.
This is where all plans for upcoming events are
announced and discussed, get details for upcoming fundraisers, keep up with
your student’s progress, hang out with other band parents, and most
importantly, get answers to any questions you may have.
The more we all work together, the more successful our
students can be.

The Band
Parent Organization is a support organization designed for the Moral and
Financial Support for the band.

That
is OK! ALL parents are busy, but helping goes well beyond just chaperoning
events. The BPO has numerous amounts of volunteer hours and tasks that are
waiting to be filled. From making phone calls, to sewing buttons on uniforms,
even assisting on the many committees, we need your help.

What is the Fair Share band fee?
|
|
The
“Fair Share” band fee is exactly that, a band fee, set to cover each student’s
fair share of the cost of operating the band.
The Fair Share is primarily set to cover and offset the cost of bringing in
highly qualified instructors, clinicians, and professionals to work with the
students.
It also allows for
more students to benefit from the various traditions and Scottish Heritage
our school has to offer.

How am I supposed to come up with all the money for Fair Share
and expenses?
|
|
That
is where our Fundraising Committee comes in. We have put together a good mix
of fundraising opportunities specifically designed to allow all students to
fundraise enough money to cover their Fair Share, Uniform Fee, Instrument
Rental, and even most of the cost of an out of state trip at the end of the
year. All the opportunities are there, but it takes full participation at
every opportunity. We expect all money to be raised, rather than spent out of
pocket. Join in all of our fundraisers whole heartedly!

Solidarity
All
working together for one purpose.
Purpose
To
promote solidarity among parents, band members, school and community by
supporting all Dunedin High School Band programs both morally and financially
through active participation and fundraising.
Appointed Committees
A.
Parliamentarian:
- Shall ensure the Robert’s Rules of Order
during meetings and aid the President with keeping the meeting orderly;
- Shall lead a training session on the
contents of the Bylaws and an overview of Robert’s Rules of Order for the
Executive Board annually.
B.
Orchestra Liaison:
-
Work in close coordination between
Orchestra Director(s), the BPO Executive Board, and the Percussion and
Dance Liaison to provide support as necessary;
- Maintain a current Orchestra Roster and
list of FOA events;
-
Organize information for all Orchestral
public performances;
- Submit paperwork for field trip requests
to the director 5 weeks prior to an event.
C. Pipe
Band Liaison:
- Work in close coordination between Band
Director(s), Pipe Band Instructor, the BPO Executive Board, Uniform
Chairperson, and the Percussion and Dance Liaison to provide support as
necessary.
- Maintain a current Pipe Band Roster and
SUSPBA members.
- Organize information for all Highland
Games Competitions and public performances;
- Submit paperwork for field trip requests
to the director 5 weeks prior to an event.
D.
Percussion Liaison:
- Work in close coordination between the
Band Director(s), Instructor, Pipe Band Instructor, the BPO Executive
Board, and the Pipe Band Liaison to provide support as needed;
- Assist in the maintenance and upkeep of
the percussion;
- Assist the Vice President in Fund
Raising efforts for new percussion equipment.
E. Dancing
Liaison:
- Work in close coordination between Band
Director(s), Scottish Dance, Pipe Band Liaison, Dance Instructor, Uniform
Chairperson, and BPO Executive Board to provide support as necessary.
- Maintain a current Dancing Roster and
memberships.
- Organize information for all Highland
Games Competitions and public performances.
- Submit paperwork for
field trip requests to the director 5 weeks prior to an event.
Duties of Standing
Committees
A.
Fund
Raising/Merchandising:
- The Fundraising Committee will consist
of the Vice President and minimum of two additional members.
- Fund raising as approved by the Executive
Board
- Assist Band Director(s) with fund raisers
- The Merchandising Committee will consist
of a chair and one additional member.
- Ordering and merchandising of shirts, flags,
yard signs, bumper stickers, buttons, etc.
- Coordination of all fund raising
activities of the DHS BPO or Music students must go through the
fundraising committee in order to avoid conflict or duplication of
efforts.
B.
Hospitality:
-
Work with the Concessions Chairperson to
host BPO activities, i.e.
-
Band Camp meals and drinks.
-
Hospitality room for judges at music contests
hosted at DHS;
-
Band Banquet (committee members come from the
underclassmen parents);
-
Provide occasional refreshments at BPO
meetings
-
Band/Orchestra Parties
-
Coordinate refreshments for various
band/orchestra activities.
-
Other special events
C.
Chaperones:
-
Responsible for arranging chaperones for all instrumental music department
functions:
-
Contact members to chaperone football games
and other trips;
-
Assist directors with transportation of
equipment;
-
Maintain proper student/chaperone ratio
according to the school’s needs;
-
Instruct chaperones before each trip;
-
Coordinate refreshments when necessary for
each trip with Hospitality and Concession Chairperson;
-
Ensure first aid kits are available for each
trip;
-
Ensure two-way radios are charged and ready
to check out to chaperones prior to each trip.
-
Transport the PCSB student medical and field
trip forms.
D. Phone
Committee:
-
Update membership list and provide
updates to the members of the Executive Board and Band Director
-
Call members whenever the President or
Band Director(s) request.
E.
Publicity/Public Relations:
-
Responsible for the publicity of the BPO and
Instrumental Music program (specifically band and orchestra events, Middle
Schools, Pipe Band, Percussion, individual band students)
-
Obtain ad in Sport Program as directed
by the Executive Board
-
Newspaper articles
-
Community bulletin boards
-
“Music Notes” newsletter
-
Fund raiser publicity
-
Coordinates with year book staff to
ensure adequate coverage
-
Provides material to the historians for
the band scrapbook
-
Work with the Spirit Committee
F. Uniform
Committee:
- Responsible for all elements of the band performance
uniforms:
-
Maintain records of uniform inventory
and distribution system;
- Issue and collect uniforms;
-
Assign/collect uniform fines as agreed
by the Band Director;
- Check in/out uniforms for regular
cleaning with Dry Cleaner selected to fulfill the marching uniform
cleaning contract;
-
Arrange for the cleaning of uniforms at
end of year or as necessary;
-
Report needed replacement items to the
Band Director.
G. Spirit
Committee:
-
Promote spirit among the families and
students of the Instrumental Music program by increasing awareness of upcoming
events i.e.:
-
Make posters
-
Hand out flyers
-
Provide decorations as needed;
-
Developing themes that encourage the
students;
-
A budget will be available to purchase
supplies needed to accomplish these objectives. (BPO funds will not be
used to purchase prizes, food or incentives for band students).
-
The President shall oversee the Spirit
Committee.
H.
Mentoring Committee:
-
Coordinate the Music BPO Mentoring program
for the BPO general membership.
I.
Historian:
-
Maintain a historical record of the
Instrumental Music Program and BPO events of the year in a scrapbook.
J.
Website:
-
Maintain a BPO website with current
information:
All Band program information must be
approved by the Band Director;
-
All BPO information must
be approved by the President of the BPO and the Director of Instrumental
Studies.
